The team handbook: buy, distribute and manage subscriptions

snaptosuit is built for teams from the ground up. One person buys the subscriptions and distributes them to the staff, and each person then works in their own private account. For you as the person in charge that means you keep control over cost and assignment, but never see the others' photos. This handbook takes you through the complete process, from the first order to ongoing management.

It starts in the pricing boxes. There you set how many subscriptions you buy. Quantity one is your own subscription, every extra one is a subscription you distribute to your team. You can also mix plans, for example a few Starter for people who rarely need portraits and a few Pro for everyone who creates them regularly. It all runs on a single shared invoice, and there is no volume discount, every subscription costs the regular price.

Assigning seats and invitations

You find all management under My subscriptions. From there you invite people by email and choose the right plan for each. You can invite any address, including outside your company, for example for freelancers or partners. The invited person accepts the invitation via the link in the email. If they already have a snaptosuit account, they can also accept the invitation right in the dashboard under Pending invitations, without the detour via email. Once they accept, they get their own account with monthly credits.

An important distinction is between two actions you will need later. Removing means you take a person off a seat, but the subscription stays paid and can be reassigned. Cancelling means you end a subscription permanently and it is no longer billed. In both cases the person keeps the credits they already received and their images, but receives no new credits.

Cancelling, upgrading and everyday use

You can cancel each subscription individually, so you never have to end the whole package at once. That way you keep the Pro subscriptions and end a few Starter ones, for example, when your needs change. A cancellation gives no partial refund, but you can use the time you already paid for in full. If you want to move someone to a larger plan, you buy a new, larger subscription and then cancel the smaller one. This keeps handling simple and clear.

When a sponsored subscription is ended, the affected person automatically receives an email notification. So they are informed and can start their own subscription anytime to continue if needed. This keeps the whole process transparent for everyone involved.
